Follow up with parents, arrange teacher cover and reduce repeated administration. Start with one task your school wants to improve, alongside the software you already use.
An enquiry without a follow-up. A teacher absent at short notice. A circular copied between groups. These are different tasks, with different people responsible for the decision.
We work through the actual process before choosing automation, AI assistance or a simpler tool.

A school tool you can explore
A teacher is absent. The classes still need cover.
The coordinator reviews the affected periods and assigns suitable teachers. Approval remains a separate step.
Keep enquiry details, an assigned caller, call outcomes and the next school visit together. A parent asking about two children needs two admission opportunities, rather than a duplicate record.
Your admissions team reviews eligibility and confirms the outcome. WhatsApp capture depends on the provider and permissions agreed for your school.
Prepare approved information, organise requests and give unresolved questions to the right person. A staff member needs to be able to take over a conversation.
Discuss existing communication tools, languages and parent permissions before adding automated messages.
Show us your current enquiry, timetable or communication system. We assess where a connection is possible and where an extra tool would add unnecessary work.
With the staff who use it
Agree roles, training and support. Try the first version with the coordinator or admissions staff before expanding. Protect student and parent information from the start.
We start with your existing tools and the task you want to improve. Sometimes a small connection or a better process is enough. We check available access and integrations before proposing a replacement or a custom tool.
What will it cost?
The price depends on the workflow, connections and support you need. Share a typical task and the tools involved. We agree a written scope and quote before building; software subscriptions and ongoing support are considered separately.
Will our staff be able to use it?
The people doing the work should help shape the tool. A first version needs to be tried on a familiar task, including the awkward cases, before it is expanded to the whole team.
Where does our data go? Will it be sent to AI?
The project scope should name the hosting and AI providers, the information they receive, who can access it and how long it is kept. Share the process first, rather than confidential records. We agree data handling before connecting your systems.
Does AI make decisions on its own?
Your team keeps control of important decisions. AI can help organise information or prepare a draft. Prices, purchases, admission decisions and sensitive communications need the agreed human review.
Who will train our team, and in which language?
Training, documentation, language and the person responsible for support are agreed in the project scope. Tell us who will use the tool and which language they are comfortable with.
Can we keep our data if the project ends?
Data ownership, access to exports, account ownership and handover need to be written into the agreement. Ask us to include an exit plan alongside the build and support plan.
How long does a project take?
We estimate after understanding the first workflow and checking its dependencies. A small first version gives your team something concrete to try before deciding on a wider rollout.
